Now, we’re looking for talented people to join our Operations Team. As an Office Manager at Xebia Functional, you will be responsible for performing a variety of high level administrative and office support functions to facilitate the efficient operations of the assigned departments.

This is a temporary contract for a full time and on-site position in San Fernando, Cadiz.

Main duties include:

  • Provide a full spectrum of office services for the San Fernando location, managing the day-to-day operations of the office. This includes managing office supplies, handling office mail, managing office equipment and facilities, and overseeing the overall maintenance and cleanliness of the office.
  • Manage office expenses in accordance with local and regional compliance, including handling accounts payable and receivable and managing petty cash.
  • Supporting colleagues in their daily work in the San Fernando office and remote workers (allocated in Spain and from the other group companies in the US, UK and Colombia), ordering new equipment, shipping laptops to repair, etc.
  • Develop, review and streamline service policies, guidelines and regulations with the global admin team.
  • Ensuring compliance: You will be responsible for ensuring that the office is compliant with all applicable laws and regulations, including health and safety regulations and employment law.
  • Facilitating events and projects: booking trip requests for the team.
  • Other ad hoc tasks as assigned.

Nice-to-have:

  • Prevención de Riesgos Laborales course’ 50 hours.
  • Experience working in an international environment.

Skills, Knowledge & Experience:

  • The ideal candidate for this role will have a background in administration support, excellent communication and organizational skills, and the ability to work independently and manage multiple tasks and priorities.
  • Ability to communicate and collaborate effectively with a diverse range of people and job functions.
  • Excellent command of the English language (both oral and written).
  • Bachelor’s degree or similar work experience.
  • 2 years of experience in a similar role.
